Annual General Meetings
An AGM is where residents and directors get to question the way their development is being run. We organise them, attend them, and — the part that matters most — act on what comes out of them.
What happens at an AGM
For a resident management company or right to manage company, the AGM is a formal company meeting: directors are appointed or retire, accounts are presented, and the members have their say. Alongside the company business, it is the practical review of the year's management.
- Notice, agenda and papers circulated in advance in line with the articles
- Presentation of the service charge accounts for the year just ended
- Review and approval of the coming year's budget and reserve contributions
- Report on maintenance, compliance and any major works
- Election, appointment or retirement of directors
- Open questions from residents
Making meetings useful rather than tense
Meetings go badly when people arrive with unanswered questions from months earlier. They go well when the year's issues have already been dealt with as they came up and the meeting can concentrate on decisions: what to spend, what to prioritise, what to plan for.
We come prepared with figures, quotes and the site knowledge to answer questions on the spot, and we say plainly when we do not know something and will find out.
Minutes and follow-through
Detailed minutes are circulated promptly, with an action list showing who is doing what and by when. Those actions carry into the year's work and are reported on rather than quietly dropped. Residents who could not attend get the same information as those who did.
Annual General Meetings: common questions
Do all developments have to hold an AGM?
Resident management and right to manage companies generally hold meetings as their articles require. Where a freeholder manages the building, there may be no company meeting, but a residents' meeting is still good practice and we are happy to arrange one.
Can we attend online?
Where the articles allow it we are glad to run meetings so that people can join remotely. It usually increases attendance considerably.
Who can vote at the AGM?
The company's members, as defined by its articles — normally the leaseholders who are members of the resident management or right to manage company.
